Ergonomic Accommodation Letter

An ergonomic accommodation letter documents your medical need for specific workplace equipment or environmental modifications. This includes standing desks, ergonomic chairs, monitor arms, keyboard/mouse modifications, lighting changes, or workspace reconfiguration. These are among the easiest accommodations for employers to implement.

Frequently Asked Questions

Does my employer have to pay for ergonomic equipment?

Yes. The cost of reasonable accommodation falls on the employer, not the employee. Ergonomic equipment is almost always considered reasonable given its relatively low cost compared to the benefit.

Can I keep the equipment if I change roles within the company?

Yes. The accommodation follows you, not the position. If you transfer departments or change roles, your ergonomic accommodation should transfer with you.

What if my employer says they can't afford a standing desk?

Standing desks cost $200-$800. For any employer with more than a handful of employees, this is extremely unlikely to constitute undue hardship. Even for very small businesses, the Alberta Human Rights Commission has found that equipment costs under $1,000 are reasonable.

Do I need a letter for each piece of equipment?

No. One comprehensive letter can recommend multiple ergonomic modifications. Our physicians will include all relevant equipment recommendations based on your condition and job requirements.
